Switching MSP in Australia: A Practical Handover Checklist
18 September 2026 · 6 min read · CyberByte Technologies
Changing providers is stressful when documentation is thin. Use this checklist to migrate support without losing access, history, or sleep.
Many Australian businesses stay with an underperforming IT provider too long because switching feels risky: passwords, licensing, backups, and “who has the firewall login?” all sit in one person’s head. A structured handover removes most of that risk.
Decide what “good” looks like before you leave
Write down the failures that triggered the change—slow response, no security roadmap, surprise invoices, missing documentation—and the outcomes you need: SLAs in AEST/AEDT, Essential Eight progress, Microsoft 365 hardening, tested backups, and transparent pricing.
Collect the keys (politely, in writing)
- Microsoft 365 / Entra ID global admin and billing ownership
- Domain registrar, DNS, and email authentication records
- Firewall, switch, Wi-Fi, and VPN credentials plus config backups
- Backup console access, encryption keys, and last successful restore evidence
- RMM/AV licensing, warranty portals, and vendor accounts
- Asset list: laptops, servers, and who owns each device
Do not cut over support on day one
A competent incoming MSP deploys monitoring, validates backups, and closes obvious security holes before becoming the primary help desk. Expect a 2–4 week overlap where discovery runs in parallel with your current provider still answering tickets.
Protect users during the transition
Communicate the new support channels early. Keep MFA and password resets working. Schedule any identity or email changes outside peak hours. Confirm that after-hours critical monitoring is live before you terminate the old contract.
Close the loop on contracts and data
- Confirm notice periods and final invoice scope in writing
- Revoke the outgoing provider’s admin accounts once cutover is complete
- Retain ticket history exports where available
- Update cyber insurance and key client contacts if your security provider of record changes
CyberByte regularly onboards clients from break-fix vendors and other MSPs across Australia and New Zealand. If you are planning a change, we can run a no-obligation readiness review and share a handover plan before you resign your current agreement.
